How we can support you

What is Plan Management?

As your customer’s Plan Manager, you can send their invoices to us directly. We’ll do the processing, including checking they are NDIS compliant and submit them to the NDIS - creating faster payment for you.

Submitting your first invoice with Plan Partners

Your customer will request you send your invoices to us as their Plan Manager. Simply email your first invoice in PDF, Word or Excel to invoice@planpartners.com.au. Even better, use our handy invoice template. We’ll then set you up in our system and send you an invite to access your own personal Plan Partners Dashboard. From your Dashboard, you’ll be able to track the status of invoices. You can also create and submit your invoices through our Fast Payment System in your Dashboard. This will allow you to get paid within 4 business days instead of 7 business days.

Invoice essentials

To ensure your invoice can be processed by the NDIS, you’ll need to include the following details:

  • Your business name, ABN and bank details
  • A valid invoice number
  • Your customer’s full name and NDIS number (if known)
  • The service provided, including the NDIS line item number (if known)
  • The date the invoice was issued AND the date the service was delivered
  • The number of hours and hourly rate for the support provided

If applicable, the invoice total should include GST. Create your invoice through our Fast Payment System in your online Dashboard to ensure your invoice is accurate. Learn how Plan Partners create easier invoicing and faster payment.

How much can you charge for services?

To ensure customers get value for money, the NDIS have set maximum prices for most services and products in their NDIS Price Guide. You’ll need to make sure your hourly rate (including GST) does not exceed the NDIS price limits. Our handy Price Guide Navigator lets you easily find which support item to use and the price limits for that support item.

When can you expect payment?

Payment can be made within 4 business days for invoices lodged through our Fast Payment System in your online Dashboard. Alternatively, submit your invoice in PDF, Word or Excel to invoice@planpartners.com.au, for payment within 7 business days (this way takes a little longer for us to review and validate invoices).

Why and how do Plan Partners validate invoices?

Invoices need to meet the NDIS criteria before payment can be processed. As Plan Managers, it’s our responsibility to make sure invoices comply before we submit them.

Your Plan Partners Dashboard makes this process easier by helping to identify issues that can be quickly resolved.

Submitting a Service Agreement to Plan Partners

A service agreement is an agreement between you and your customer to help you both understand the services to be provided under the plan and what’s expected of you. It will also help your customer know what budget to set aside for your services. At Plan Partners, we have an [automated] system to ensure the appropriate funds are quarantined for your services. The NDIS also offers a handy guide explaining what you need to include in your service agreement and how to set one up with your NDIS participant.

Once your agreement is signed by you and your customer, please email it to us at  admin@planpartners.com.au and we can quarantine the funds.

Do I need to be NDIS registered?

You only need to be NDIS registered if your customer’s funds are being managed by the NDIA so you can submit a claim. If your customer is Plan Managed or self-managed, they can use unregistered providers. Find out more about the difference between registered and unregistered providers.

What services are covered by the NDIS? 

For a support to receive NDIS funding, it must be considered ‘reasonable and necessary’ in helping the participant reach their goals and objectives.

'Understanding what’s reasonable and necessary' will help you understand whether your supports are considered 'reasonable and necessary' for your NDIS participant.
